5 Workflow Automations Every Electrical Contractor Should Set Up This Quarter

Most electrical contractors think automations require a developer. They don't. Here are five no-code workflows that pay for themselves within 30 days.

How automation actually works in field service software

Modern field service platforms let you build rules without code: pick a trigger (e.g. "work order status changed to completed"), optional conditions (e.g. "service type is panel upgrade AND total is over $1,500"), and an action (e.g. "send invoice to customer"). Most platforms call these "workflows" or "automations." BOOTMARK's electrician software ships them on every plan.

Automation 1 — Auto-assign by service type

Trigger: new work order created. Condition: service type matches a specific value (e.g. "panel upgrade" or "EV charger install"). Action: assign to the qualified tech and notify them. Why it matters: a residential electrician shouldn't be dispatched to a commercial 480V job by accident. This rule prevents the dispatcher from forgetting which tech holds which certification.

Automation 2 — Auto-follow-up on unaccepted estimates

Trigger: estimate sent. Condition: status still "sent" after 3 days. Action: send a polite follow-up email. Repeat at 7 days. Why it matters: 30–40% of estimates close after a follow-up that nobody had time to send manually. Automating it captures revenue that would otherwise quietly disappear.

Automation 3 — Auto-convert approved estimates to work orders

Trigger: estimate marked approved by customer. Action: create a work order with the estimate's line items, assign to the default crew for that service type, and notify the dispatcher to schedule. Why it matters: kills the manual re-entry step. Saves 5–10 minutes per accepted estimate, prevents data-entry errors, and accepted jobs are scheduled within hours instead of days.

Automation 4 — Auto-send invoice on job completion

Trigger: work order status changes to completed. Action: generate and email the invoice to the customer with a payment link. Why it matters: invoices sent the same day collect 3× faster than 30-day invoices. Same-day invoicing alone typically pays for the entire software bill.

Automation 5 — After-hours emergency intake routing

Trigger: online booking form submitted with "emergency" tag. Condition: time of day is outside business hours. Action: send SMS + push to on-call dispatcher and email the customer an "we received your request" confirmation. Why it matters: the late-night emergency call is the highest-margin job in electrical contracting. Automation makes sure none slip through the cracks because the office was closed.

How to roll these out without it being a project

Set up one automation per week. Test each one with a fake work order before turning it loose. Within 5 weeks all five are running, and they save the average shop 8–12 hours/week of administrative work — the equivalent of half a part-time office hire.
